Terms and Conditions & Privacy Policy

Welcome to Ascend Aviation. By scheduling or participating in a flight lesson, discovery flight, air tour, or other service with Ascend Aviation, you agree to the following Terms & Conditions.

1. Reservations

Reservations may be made online through Flight Circle, by phone, or in person. All reservations are subject to aircraft availability, instructor availability, weather conditions, aircraft maintenance, and other operational considerations.

2. Payment

Payment is due at the time of booking for Air Tours, unless other arrangements have been made with Ascend Aviation.  Flight Instruction and Aircraft Rentals, payment must be made after the completion of the flight.  Students will not be able to schedule another lesson until paid in full. 

3. Cancellation & Refund Policy

We understand that plans can change. If you need to cancel or reschedule your reservation, please review the following policy:

• Cancellations or rescheduling requests made at least 24 hours before your scheduled appointment may be made without penalty.

• If you cancel or reschedule less than 24 hours before your scheduled appointment, a $50 cancellation fee may be charged.

• If your reservation is within 24 hours of the scheduled start time, you cannot cancel through Flight Circle. You must contact Ascend Aviation directly by phone or other designated communication method to notify us of your cancellation or request to reschedule.

• No-shows or failure to notify us before your scheduled flight may result in forfeiture of the entire booking fee.

• Customers who fail to notify Ascend Aviation and do not arrive for their scheduled appointment ("no-show") may result in forfeiture of the entire booking fee or will be  charged the $50 cancellation fee at the sole discretion of the Chief Pilot.

• The $50 cancellation fee may be waived at the sole discretion of the Chief Pilot. Waiving the fee for one customer or circumstance does not create an obligation to waive the fee in future situations.

• Flights canceled due to weather, aircraft maintenance, FAA restrictions, or other safety-related reasons will receive a full refund or may be rescheduled at no additional charge.

• The pilot in command has final authority regarding weather and flight safety.

Refunds will be processed as follows:

• Any approved refunds will be issued using the original method of payment.

4. Weather & Safety

Safety is our highest priority.

Flights may be delayed, rescheduled, or canceled due to weather, aircraft maintenance, air traffic restrictions, instructor availability, or other circumstances that could affect the safety of flight operations.

These decisions are made solely by Ascend Aviation and the Pilot in Command.

If Ascend Aviation cancels a flight for operational or safety reasons, you may choose to:

• Reschedule your appointment at no additional charge; or

• Receive a full refund if you choose not to reschedule.

5. Flight Training

Flight instruction is conducted in accordance with applicable Federal Aviation Administration (FAA) regulations and the professional judgment of your flight instructor.

Ascend Aviation cannot guarantee that a student will earn a pilot certificate, rating, endorsement, or complete training within a specific number of flight hours.

6. Passenger & Student Responsibilities

All passengers and students agree to:

• Follow all instructions provided by instructors and pilots.

• Arrive on time for scheduled appointments.

• Wear appropriate clothing and closed-toe shoes.

• Present valid identification when required.

• Meet applicable aircraft weight, balance, and safety requirements.

Ascend Aviation reserves the right to refuse service to anyone who appears to be under the influence of drugs or alcohol, behaves in an unsafe or disruptive manner, or presents a safety concern.

7. Medical Responsibility

Students pursuing pilot certification are responsible for obtaining any FAA Medical Certificate required for the certificate or rating they intend to earn.

Participants are responsible for ensuring they are medically fit to fly.

8. Assumption of Risk

Aviation activities involve inherent risks despite careful maintenance, training, and safety procedures.

By participating in flight instruction, discovery flights, aircraft rental, or air tours, you acknowledge these inherent risks and voluntarily assume responsibility for your participation.

Nothing in these Terms & Conditions limits any rights that cannot legally be waived under applicable law.

9. Gift Certificates

Gift certificates are non-refundable unless otherwise required by law.

Gift certificates have no cash value and may not be redeemed for cash.

Reservations made with gift certificates remain subject to these Terms & Conditions, including the Cancellation & Refund Policy.

10. Photography & Video

Photography or video may be taken during flight activities for promotional purposes.

Participation in photographs or videos is voluntary. If you do not wish to be photographed or recorded, please notify Ascend Aviation. 

11. Privacy Policy

Ascend Aviation ("we," "our," or "us") values your privacy and is committed to protecting the personal information you provide when using our website or services.

Information We Collect

When you contact us, schedule a flight, book an air tour, or enroll in flight training, we may collect personal information including:

• Name

• Email address

• Telephone number

• Mailing address (when applicable)

• Date of birth (when required for flight training)

• Emergency contact information

• Flight training records and scheduling information

• Payment information (when applicable)

We collect only the information necessary to provide our services and comply with applicable aviation regulations.

How We Use Your Information

Your information may be used to:

• Schedule and manage flight lessons and air tours

• Communicate regarding reservations, appointments, and schedule changes

• Process payments

• Maintain student training records

• Respond to questions or requests

• Improve our customer service and website

We do not sell, rent, or trade your personal information to third parties.

Online Scheduling

Ascend Aviation uses Flight Circle, a secure third-party scheduling and flight management platform, to manage reservations, flight training records, scheduling, and, when applicable, payments.

Payments

If you make payments online, payment information is processed through secure third-party payment providers integrated with Flight Circle. Ascend Aviation does not store your complete credit card information on our website.

Cookies and Website Analytics

Our website may use cookies and standard analytics tools to help improve website performance and understand how visitors use our site. These tools collect general, non-identifiable information such as browser type, pages visited, and device information.

You may disable cookies through your browser settings at any time.

Sharing Your Information

We may share your information only:

• With trusted service providers, such as Flight Circle, to provide scheduling and related services;

• When required by law or government regulation;

• To protect the safety, rights, or property of Ascend Aviation, our customers, or others.

We use reasonable administrative, technical, and physical safeguards to protect your personal information. While we strive to protect your information, no method of electronic transmission or storage is completely secure, and we cannot guarantee absolute security.

Your Rights

You may contact us to:

• Request access to your personal information;

• Request corrections to inaccurate information;

• Ask questions regarding how your information is used.

If your information is stored within Flight Circle, you may also have the ability to update certain personal information through your Flight Circle account.

Children's Privacy

Our website is not intended for children under the age of 13, and we do not knowingly collect personal information from children through our website.

Changes to This Privacy Policy

We may update this Privacy Policy from time to time. Any revisions will be posted on this page with an updated effective date.

FAA Training Records

As a flight training provider, Ascend Aviation maintains certain student training records as required by applicable Federal Aviation Administration (FAA) regulations. These records may include training dates, flight times, instructor endorsements, certificates, ratings, and other information necessary to document flight training and ensure regulatory compliance.

When required by law or regulation, or in response to a lawful request, we may provide relevant records to the FAA or other authorized governmental agencies. We retain training records for the periods required by applicable laws and FAA regulations.

12. Changes to These Terms

Ascend Aviation reserves the right to update these Terms & Conditions at any time. Any changes become effective upon posting to our website.
